Mailing Lists Policy
A list server provides an automatic way to communicate with large numbers of people quickly and hold discussions among many people. List server mailing lists are provided to the Meredith community as means of sharing information and holding discussions within groups related to education, research, and teaching. List server mailing lists are available to current faculty, staff, and student organizations provided the following requirements are met: |

Lists must serve an academic, administrative, social or other distinct purpose associated the college's mission. |
• |
Must not duplicate an existing list. |
• |
Must have a local owner who can provide information regarding the purpose of and people participating in thelist. |
• |
Must conform with all email policies. |
• |
Must use shared college resources responsibly. |
• |
Faculty or staff with approval from sponsoring department head. |
• |
Student organizations with a staff or faculty list advisor. |
• |
List owners must have a valid Meredith email account. |
List Owner Responsibilities |
• |
Day to day activities of list. |
• |
Acquire knowledge and skills required for list administration and maintenance by attending list owner training sessions. |
• |
Identify and solve subscriber problems. |
• |
Provide adequate information regarding the purpose of and people participating in that list. |
• |
Respond to questions regarding list's use, content, and routine functions
such as subscribing and unsubscribing. |

Respond to list members request to unsubscribe. |
| • |
Individual list policy-setting, communicating and enforcing rules so the list may successfully serve its purpose. |

Maintaining list features such as welcome message, header and trailer messages. |

Monitor for appropriate use. |

Must maintain subscription to list 'listowners' used for communicating changes to list server policies, and help resources. |

Respond to requests from list manager. |
| • |
Stay informed about list server policies. |
| Transfer of Ownership |
List manager must be contacted directly by the original list owner, department head, or list advisor regarding the transfer of list ownership. Orphaned lists (lists with no list owner) will be removed by the list manager. |
| Authorized List Subscribers |
List subscribers may include any individual approved by the list owner, including individuals with non-Meredith email addresses. The list subscriber should have a relevant association with the purpose of the list. |
| List Subscriber Responsibilities |
Membership is not a right of the individual. List owners reserve the right to unsubscribe list members who abuse the list by sending inappropriate mailings. List owners are responsible for determining what constitutes inappropriate mailings. |
List Manager Responsibilities |

Create new lists for owners (this does NOT include subscribing users). |
• |
Deletes lists no longer active or by request from list owners. |
• |
Train list owners on maintaining a list server. |
• |
List owner for "listowners" list. |
• |
Enforces list server policies as defined above. |

Remove any lists not being used or managed properly. |
Unacceptable Use of Lists |
• |
Any illegal purpose or discussions. |
• |
Sending off topic mail. |
• |
Sending abusive or offensive mailings to the list server. |
• |
Sending large attachments. |
• |
Under no circumstances can a list be used to participate in or promote
activities that violate the Meredith Honor Code. |
Lists are not confidential. List manager reserves right to and remove any poorly managed or improperly used lists. Lists will be reviewed for renewal on an annual basis. Lists associated with courses will be removed at the end of the semester or course. The list manager will periodically review list for activity and conformance to list server policies. Lists that are inactive or that fail to conform to policy rules will be removed. Lists will not be created by Technology Services or list manager from college databases. List owners are responsible for subscribing and unsubscribing members. No list archives of postings to lists will be made available.

To request a list, the proposed list owner or sponsor must submit a list application form to the list manager in Technology Services. Call Technology Services Helpdesk at 760-2323 to request a list application form. List requests are subject to approval by the List Manager or the CIO of Technology Services. |
