Payroll Facts
Direct Deposit: When you submit the paperwork to sign up for direct deposit, the next payroll is a test run for the direct deposit process and a normal check will be issued. The following payroll will be a direct deposit with a pay stub issued. Direct Deposit is not available for a final paycheck. A regular check will be issued instead.
Federal law requires that the employee must complete Section I of the I-9 on their first day of employment and provide appropriate documentation within the first three days of work to verify that they are legally eligible for employment.
Dates to Remember: Monthly leave cards are due in the Payroll office by the 10th of the following month.
Any changes to be included in the monthly payroll are due in the Payroll office by the 15th of the month. This includes new hires, terminations, leave without pay, name changes, changes in retirement contributions, etc.
Payroll Changes: If a supervisor knows of a change that will affect the current payroll, such as an extended leave without pay situation or a termination that will occur before the end of the month, and it is close to the due date for changes, they should call or e-mail payroll as soon as possible, then follow up with the Payroll Notice Form.
Leave Balances on Pay Advices: Pay advices include annual leave and sick leave balances. Please verify that all leave has been posted when reviewing leave balances.
Resignations/Terminations: Notify the Payroll office of resignations/ terminations as early as possible. Staff Payroll Notice forms can be sent in advance of the effective date.
